Uniper Replaces a 15-Year-Old In-House System with a Multilingual Cloud-Based ILS

Providing a multilingual, cloud based and secure integrated library system for international energy company,

Uniper and Soutron

How a Global Energy Company Modernized Access to 50 Years of Technical and Engineering Reports

Uniper is an international energy company operating in more than 40 countries with around 13,000 employees. Its information services team manages a large repository of specialist engineering, research and customer reports stretching back more than 50 years. The existing in-house library management system had been in place for 15 years and, while stable, was increasingly difficult to maintain, lacked modern features and made it hard for staff across multiple international locations to search and access technical documentation.

Soutron replaced it with a cloud-based, multilingual integrated library management system that brought full-text PDF search, tiered access controls, loan management and a modern OPAC that the team can update without relying on internal IT infrastructure.

Objectives

Uniper had been using an in-house developed integrated library solution (ILS) for over 15 years. Even though the software was stable, was originally developed for their needs and satisfied their basic reports requirements, it was becoming increasingly difficult to upgrade and maintain and lacked some of the features which would be expected from modern business solutions.

Hosted on an internal server, the system was dated in appearance and performance and the OPAC / Search Portal was not easy to keep updated.

Uniper leading international energy companyThey identified a need for a new ILS and took advantage of an internal organizational change to bring in a solution fit for the new organization. Angela Betts, Information and Intelligence Services, says “We really wanted an ILS we could safeguard, search and access our technical reports from multiple locations internationally, necessary to support our business. Our information services function manages a large repository of specialist engineering, research and customer reports dating back over 50 years to the present day.”

Uniper knew Soutron were a key ILS provider for corporate and special libraries and made sure they were included in their tender process.

It also includes a number of beneficial features for users such as saved searches and matched their requirements in respect of implementing levels of access and security related to user group and document types.

Uniper and Soutron Library SolutionsAngela says “Our new catalog perfectly manages our particular needs and offers future potential for access via any browser enabled device and for our external customers to access their consultancy reports directly online”.

Their prior solution offered great reporting tools, but the Soutron ILS takes this even further. With a large selection of reports available, they can get the management statistics they need at any time.

Frequently Asked Questions

Can an integrated library system support multilingual teams across multiple countries?

Yes. An integrated library system configured with multilingual support allows international teams to search, access and manage information in their own language. Uniper, an energy company operating in more than 40 countries, required this as a core requirement when selecting a new ILS. Soutron delivered a cloud-based platform with language support built in, ensuring staff across all locations could use the system without language acting as a barrier to accessing critical technical documentation.

How can an integrated library system improve access to historical engineering and technical reports?

An integrated library system with full-text PDF search allows engineers and technical staff to search across large repositories of historical documentation quickly and accurately. Uniper manages specialist engineering, research and customer reports dating back more than 50 years.

After implementing Soutron LMS, their engineers gained full-text search across that entire archive, making it faster to locate prior work, apply existing knowledge and avoid duplicating effort across international projects.

What should an energy or engineering company look for when replacing an in-house integrated library system?

An energy or engineering company replacing a legacy or in-house integrated library system should look for cloud hosting to remove reliance on internal infrastructure, full-text search across technical document formats, multilingual capability, tiered access controls and strong vendor support. Uniper identified all of these as priorities when retiring a 15-year-old in-house system.

Soutron met each requirement, delivering a hosted platform with modern search, security controls and a user interface that the information services team could manage and update independently.

Can a library management system control access to sensitive documents across different user groups?

Yes. A library management system with role-based access controls can restrict visibility of documents by user group and document type, ensuring sensitive materials are only accessible to authorized staff. For Uniper, this was an important requirement given the range of engineering, research and customer reports held in the system.

Soutron's access and security configuration met those needs while also providing a pathway for external customers to access their own consultancy reports directly through a browser-enabled portal.
